About

The goal of the Adviser Education Program is to contribute to the expertise of University of Washington advisers and to enhance their professional development. The program accomplishes this through support for training and professional development activities related to advising.

AEP is led by an executive board that serves a 2 year term. The board is chosen by the previous board members.

ARTICLE I: NAME

The name of this association shall be the Adviser Education Program (AEP).

ARTICLE II: PURPOSE

The purposes of this organization are:

  1. To provide, promote, and improve professional development opportunities for the advising community
  2. To enhance collaboration and exchange of professional information among advisers and counselors;
  3. To provide training for University of Washington advisers
  4. To collaborate with and support other university advising associations

ARTICLE III: EXECUTIVE BOARD

Section 1: The Executive Board of the Association shall be composed of a minimum of five and a maximum of ten elected board members. The term of office for Executive Board members shall be two years in staggered fashion. In one year, at least three new Board members shall be elected. There shall always be at least three continuing Executive Board members. The Board’s chair will be the designated Adviser Education Lead from Undergraduate Academic Affairs (UAA) advising, as that is the administrative home of the organization. This person will not be held to the 2 year rotation. The Board will strive to maintain diverse representation from the advising community. The new Executive Board members will assume duties on October 1 and serve until September 30, two years later.

Section 2: It shall be the duty of the Executive Board to propose and recommend policies, identify issues, define priorities, and formulate operational actions for the Board.

Section 3: It shall be the duty of the Executive Board to create and provide representation at events hosted by the program.

Section 4: The Executive Board shall keep the minutes of the Board meetings.

Section 5: The Board will oversee program funds, ensuring necessary disbursements and maintaining accurate records of all transactions. Regular financial reports will be provided to the Board Members.

ARTICLE IV: EXECUTIVE BOARD LEADERSHIP

Section 1: The UAA Adviser Education representative will serve as chair of the AEP board.

Section 2: Chair of the Board responsibilities include but are not limited to: arranging and facilitating meetings, setting meeting agendas and oversight of the AEP board election process.

ARTICLE V: APPLICATIONS AND SELECTIONS

Section 1: Applications for Executive Board positions shall be accepted beginning September 1st and a list of candidates shall be sent to the Executive Board by email by September 15th.

Section 2: Members elected to the Executive Board shall be candidates receiving a simple majority of votes.

Section 3: During October the current Executive Board will meet with new Executive Board members to orient them to the Board duties.

Section 4: No one may serve on the Executive Board for more than one consecutive two-year term; however after a year's interval a member may serve again. (See the exceptions in Article V, Section 5 and 6.) The AEP chair will not be held to the 2 year rotation.

Section 5: In the event of a vacancy on the Executive Board during the middle of a term, the Board may appoint a new member, subject to the approval of a simple majority of the Executive Board. Board members shall be notified of this appointment by email. The board member appointed may be a former Board member if continuing for only one additional (third) year.

Section 6: If a Board member is not performing Board duties adequately they may be asked to leave the Board by a simple majority vote of the other Board members.

ARTICLE VI: COMMITTEES

Section 1: Standing Committees, ad hoc committees, and task forces will be formed as necessary. Any Board member may propose the formation of a new committee or taskforce to the Executive Board.

ARTICLE VII: MEETINGS AND EVENTS

Section 1: Board will strive to meet twice per quarter with additional meetings as necessary. Committees and task forces shall meet separately if needed.

Section 2: Events organized by the Board include, but are not limited to, training workshops, Annual Advising Symposium, Advising Basics, Advanced Adviser Development Program and others. Scheduled events will be presented to the advising community through the website and email announcements.

ARTICLE VIII: PROPERTY OF THE PROGRAM

Section 1: All property of the program shall be subject to the control and management of the Executive Board.

Section 2: All appropriations of the program funds shall be made by the Executive Board. The expenses incurred in the conduct of the affairs of the program shall be managed by the Chair in conjunction with the Assigned Administrator.

ARTICLE IX: AMENDMENTS TO THE BY-LAWS

Section 1: Any member may propose an amendment to the AEP by-laws.

Section 2: A proposed amendment to the by-laws may be presented at an Executive Board meeting. A proposed amendment must be approved by a simple majority of the Executive Board. Revised by-laws should be posted to the AEP website upon approval.
